Replace or update assets

In the case you need to replace or update an asset, follow these steps.

  • Locate the folder of the asset
  • Make sure the new asset has exactly the same name (File name, extension and Capital or lowercase letters)
  • Drag and drop the new asset to the folder

 

You can now choose:

  1. create another version:
  2. replace an existing asset
  3. keep both by renaming the new asset that is uploaded

(1) Create Version (Update) of an asset and keep the file name (recommended)

In the case you need to update an asset to keep the properties and references, follow these steps:

1.    Choose "Create version" in the Conflict message

2.    Publish the asset

The asset will be updated in all uses you see in Properties/References.

(1.1) Create Version (Update) of an asset and change the file name

 Sometimes you have to change the title and data names by replacing broshures and catalogues. In this case, you have to update and rename an asset at the same time.

⚠️ External links are going to break once you changed the file name (URL) of an asset. Please check beforehand whether external links exist and change them too.

The following steps start before the "Name Conflict" banner appears. Follow as instructed:

  1. In the Rename screen, you can change the asset name in the Asset name after move field.
  2. Click Next.
  3. In the Rename screen, you can move the asset to a new location. If you want to keep the location just choose the actual location.
  4. Click Next.
  5. In the Adjust / Republish screen, please select to re-publish and update any reference to the assets.
  6. Click “Move” to move the asset.
  7. After you have successfully changed the name of the asset you can create the version of the asset. Therefore, please follow all steps of (1)

(2) Replace

If you replace an existing asset, the metadata for the asset and any prior modifications and history (for example annotations, crops, and so on) are deleted.

⚠️ Before you replace an asset, please do carefully check wether you want to replace all prior modifications and history.

 


(3) Keep both assets 

If you choose to keep both assets, the new asset is renamed.
